What documents do I need to start an assignment?
You'll need to complete your Terms of Engagement, provide your tax, bank, and super details (for PAYG), or company details (for Pty Ltd contractors). Background checks or additional compliance may be required depending on the role.
How are temporary workers and contractors paid?
You will receive a fair and competitive market rate based on factors such as job complexity, expertise, assignment length and travel distance. If any of these factors change during your assignment, please inform us, we’re happy to review rate adjustments when justified.

How do I submit my timesheets?
Submit your timesheet online every Friday afternoon or earlier if your week ends sooner, while your hours are fresh in your mind. Setting a reminder can help avoid late submissions and ensure timely payment. Your line manager needs to approve your timesheet before the first pay run of the following week. You can log in to the Hays Online Timesheets using your payroll ID and password. Some clients use other timesheet platforms but your consultant will guide you accordingly.
How do I login to Hays Online Timesheets?
Once your assignment is confirmed, you’ll be required to set up an account on Hays Online Timesheets. You will be required to provide us with your address, tax, bank, and superannuation details. Pty Ltd contractors will enter their ABN and company bank details. You’ll receive an email with instructions on accessing the platform for the first time.
Where can I find my payroll ID?
Your payroll ID is provided in the initial email you receive with instructions to setup your account for Hays Online Timesheets. Your payroll ID is your username to log into Hays Online Timesheets so keep it handy. You can also find it on your payslips. If you’re still having trouble locating it, please contact Hays Temporary Payroll at payrollhelpdesk@hays.com.au
What if I miss the timesheet deadline?
If you miss a deadline due to forgetting to submit your timesheet or your line manager not approving it, check with your manager to ensure approval before:
- Wednesday 10 AM (for Wednesday evening payment)
- Friday 10 AM (for Friday evening payment)
With twice-weekly pay cycles, you won’t have to wait long for payment. If unsure, contact your consultant.
Who do I contact if there’s a problem with my pay?
Contact your Hays consultant in the first instance or the payroll team directly at payrollhelpdesk@hays.com.au. We’ll help resolve the issue as quickly as possible.
How do I obtain information about Health & Safety policies and procedures?
At Hays, your health, safety, and well-being are our top priorities. Before starting an assignment, you must complete our online H&S induction. If you don’t receive an induction (including emergency procedures) when you start your assignment, notify your consultant. Your H&S training must be renewed biannually. What should I do if I have Health & Safety concerns, identify a hazard, or sustain an injury?
Immediately inform your supervisor or the client’s Health & Safety representative, then contact your consultant. They will advise on the best course of action.
Does Hays offer an Employee Assistance Program (EAP) for contractors?
Yes! You and your immediate family have confidential access to TELUS Health’s Employee Assistance Program during your assignment and up to three months after it ends. Learn more here.
What if I don’t like my assignment, the organisation, colleagues or location?
If you have concerns about your assignment, contact your consultant, they’ll help determine the best course of action.
What should I wear?
Your consultant will inform you about the workplace environment before you start. Whether it’s business attire or hi-visibility workwear, they’ll ensure you’re prepared. If your role requires PPE, it must be worn, and you should receive training on its proper use. If PPE is missing, notify your supervisor and consultant immediately.
Will you look for permanent work for me while I’m temping?
Absolutely! If you’re interested in permanent work, let your consultant know. We have specialist consultants who focus on permanent roles and can provide tailored advice.
Can I take time off?
Annual leave
As a casual employee, you’re not entitled to paid annual leave. Instead, you receive casual loading in your pay to compensate for this. For short-term assignments, time off is generally not expected. If you need to attend an interview for a permanent role, please try to schedule it outside business hours. If that’s not possible, speak to your Hays Consultant first.
Personal/carer's leave
If you’re unable to attend work, let your consultant know as soon as possible so they can inform the client and arrange a replacement if needed. Please note that as a temporary or contract worker, also known as a casual worker, you’re not entitled to paid sick leave, Instead, you receive casual loading in your pay to compensate for this.
Family and domestic violence
If you need to take time off work to deal with the impact of family and domestic violence, you can contact our Health and Safety team on 1800 786 057 or contact your Hays consultant for a confidential discussion about how Hays can best support you. Are there confidentiality obligations as a temporary worker or contractor?
Yes. Your confidentiality obligations are outlined in the Terms of Engagement, which you sign upon starting work with Hays. Please ensure you understand and adhere to these obligations.
What happens when my assignment ends?
Stay in touch with your consultant as your assignment nears completion. We’ll begin searching for your next opportunity and may also discuss redeployment with the current client, if appropriate.
