Your new role
You will be the Team Assistant supporting senior leadership, including the CFO and Audit Teams, while contributing to the smooth and efficient running of daily operations.
In this dynamic and varied position, you will provide high-level administrative and operational support to senior executives and business teams. You will play a key role in ensuring seamless coordination, communication, and workflow management across the organisation.
- Providing diary and calendar management, scheduling meetings, and prioritising appointments for senior executives
- Acting as a first point of contact, managing phone calls, emails, and correspondence
- Preparing and editing documents, reports, presentations, and spreadsheets
- Coordinating domestic and international travel, including flights, accommodation, and logistics
- Supporting meetings, events, and conferences, ensuring all arrangements are handled efficiently
- Tracking actions, managing follow-ups, and coordinating tasks and project deliverables
- Assisting with reception cover, mail management, and general front-of-office support
- Maintaining confidential filing systems (digital and physical) and ensuring accurate document management
- Supporting office operations including supplies, invoicing, and supplier coordination
- Assisting with accounting and audit-related administrative tasks (e.g. BAS collation, invoicing, ATO liaison, work papers, reporting)
- Building and maintaining strong relationships with internal teams, clients, and external stakeholders
- Providing ad hoc support across projects and business functions as required
What you'll need to succeed
To be successful in this role, you will be a highly organised and detail-oriented administration professional with experience supporting senior stakeholders in a professional services environment.
You will bring:
- Proven experience as a Team Assistant, Administrator, or Executive Assistant
- Strong organisational and time management skills, with the ability to manage competing priorities
- Excellent written and verbal communication skills
- High attention to detail and accuracy in documentation and reporting
- Discretion and professionalism when handling confidential information
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with systems such as FYI, FuseDocs, Caseware, XPM, or similar (desirable)
- Exposure to accounting or audit administration tasks (e.g. BAS, invoicing, ATO processes)
- A proactive, adaptable approach with strong problem-solving capability
- Ability to build effective working relationships across teams and stakeholders
- Flexibility to support reception coverage and broader office operations as required
