Seeking a highly organised and detail-oriented Shipping Coordinator to join the team. The ideal candidate will be responsible for managing and coordinating all aspects of shipping operations, ensuring timely and accurate delivery of goods.
Your new role
- Coordinate and schedule shipments with carriers and suppliers.
- Prepare and process shipping documents, including bills of lading, packing lists, and invoices.
- Track and monitor shipments to ensure on-time delivery.
- Communicate with customers regarding shipment status and resolve any issues that arise.
- Maintain accurate records of shipments and inventory.
- Collaborate with warehouse staff to ensure efficient loading and unloading of goods.
- Ensure compliance with all shipping regulations and company policies.
- Understand customer monthly and weekly allocations and review usage profile for shipping allocation
- Work with Stakeholders to obtain forecasts and actual monthly orders (generally obtain orders2 – 3 weeks prior to vessel departure).
- Work with the Origin Freight Forwarder to place order against each shipping line ensuring customer contracted allocations are not exceeded.
- Once bookings are confirmed, update customer excel schedule and create Cargowise shipments.
- Continuous monitoring and updating Cargowise changes and liaising with the Supply Chain Customer Service Coordinator for weekly schedule distribution.
- Review, update, and inform all stakeholders of changes to freight rates when informed by shipping lines
- Manage the paperwork from the Freight Trading related freight forwarders, customs brokers and logistics companies, code it and forward to A/P for the preparation of payment requisitions
- Actively seek out process improvements that will speed up or minimise manual processing and/or improve accuracy
- Raise Manual invoices to charge Customers for Freight Trading Services
- Raise Manual Invoices to charge Customers for additional costs such as Container repair, cleaning etc.- Manage container detention reconciliation and invoice Customers where required
- Provide back-up coverage to all Shipping Solutions team members as required
What you'll need to succeed
- Prior experience with Shipping and Customs clearance is desirable
- Previous experience with data entry commercial awareness
- Excellent communication and interpersonal abilities.
- Ability to prioritise and work autonomously Systems thinking
- Ability to work independently and as part of a team.
- Knowledge of MS Word, Excel
- Cargowise and JDE knowledge
