Providing maintenance to a diverse client base including CBD high-rise offices, commercial buildings, schools, aged care facilities, and office tenancies, the organisation has built a strong reputation for quality and reliability.
Your New Role:
As the Service and Accounts Administrator, you will play a critical role in ensuring the smooth coordination of service operations and accurate execution of financial administration. Sitting across both operations and accounts, this role is integral to maintaining efficiency, supporting business performance, and enhancing internal processes.
Your responsibilities will include:
Service Administration:
• Managing customer enquiries and service requests
• Creating and scheduling jobs within service management systems
• Coordinating workflows between customers, technicians, and operations
• Monitoring job progress and managing work-in-progress (WIP) through to invoicing
• Issuing accurate invoices within required timeframes
• Maintaining preventative maintenance schedules and records
• Ensuring high levels of data integrity across systems and asset records
Accounting & Systems:
• Processing accounts payable and receivable
• Completing bank, credit card, and account reconciliations
• Managing supplier statements and preparing payments
• Supporting payroll processing
• Assisting with monthly reporting and general accounting tasks
• Maintaining compliance with internal financial controls
Business & Operational Support:
• Supporting insurance administration and renewals
• Maintaining fleet records and compliance documentation
• Assisting with staff onboarding and training administration
• Managing compliance and certification records
• Supporting system improvements, policies, and procedures
• Providing administrative support to directors and management
How You Can Succeed:
To succeed in your new role, you will bring:
• Experience in administration, service coordination, or accounts
• Exposure to trade, construction, or mechanical services environments (advantageous)
• Strong organisational skills with excellent attention to detail
• The ability to manage competing priorities in a fast-paced environment
• Experience with accounting software such as Xero (or similar)
• Exposure to service platforms (e.g. Tradify, Simpro) (highly regarded)
• Strong digital literacy and confidence working across systems
• Excellent communication and customer service skills
• A proactive, solutions-focused mindset
• A high level of accuracy and commitment to quality
