I am currently recruiting for a permanent, full-time Administrator for a commercial flooring company based in the Inner West.
This company is looking for a proactive and organised individual to step into a key administrative role within a well-established company. In this role, you’ll play a key part in keeping operations running smoothly, coordinating schedules, managing documentation, liaising with clients and suppliers, and supporting project delivery from behind the scenes.
Previous experience in Construction or Commercial Interiors is highly desired but not essential.
Please note: This role does require you to be in the office 5 days a week, and you MUST be an Australian Citizen, or a Permanent resident to apply.
Your new role
•Answer and manage the main phone line, directing calls as necessary.
•Manage office supplies, including ordering stationery, kitchen supplies, paper products, and maintaining the first aid kit.
•Monitor and maintain adequate stock levels for office and operational needs.
•Provide general administrative support to staff across various departments as required.
•Prepare and manage Work Health and Safety (WHS) documentation.
•Compile WHS Management Plans, including Safe Work Method Statements (SWMS), Material Safety Data Sheets (MSDS), insurance certificates, and checklists, and upload them to relevant platforms.
•Assemble comprehensive Operation & Maintenance (O&M) manuals, including maintenance guides, fire test reports, specifications, fire hazard property certificates, and supplier warranties.
•Complete Compliance Certificates and issue installation warranties for flooring projects.
•Assist in the collection and management of subcontractor warranties.
•Produce Inspection and Test Plans (ITPs) and Quality Assurance Plans.
•Prepare Green Star documentation for applicable floorcovering projects.
•Complete sustainability documentation, including certificates for VOC and PVC content, recycling, and environmental compliance, and attach supporting supplier certificates and invoices.
•Liaise with suppliers to obtain up-to-date documentation and certifications.
What you'll need to succeed
•Strong attention to detail and excellent organisational skills.
•Ability to multitask and meet deadlines.
•Confident communicator with strong interpersonal skills.
•Proficient in Microsoft Office Suite and comfortable learning new systems.
