We are currently seeking an experienced Secretariat Officer for a temporary assignment with a well-regarded, not-for-profit organisation.
This role will suit someone who thrives in a governance-focused environment and can deliver high-quality secretariat and administrative support with a high level of professionalism, discretion and autonomy.
Your new role
Reporting to the Office of the CEO, the Secretariat Officer will provide end-to-end support to Councils and external committees, ensuring meetings and governance processes are coordinated efficiently and accurately. You will play a key liaison role between Council members, Chairs, the CEO and internal stakeholders, supporting effective decision-making through well-managed documentation, communication and records. This is a hands-on role requiring strong organisational skills, excellent minute-taking ability and experience working in confidential, high-level environments.
- Coordinate Council and committee meetings, including scheduling, agendas, papers and logistics
- Prepare accurate, timely and high-quality minutes, ensuring actions are clearly captured and tracked.
- Manage committee documentation, maintaining structured and up-to-date records and document control systems
- Monitor meeting calendars, forward planning cycles and key governance timelines
- Distribute meeting materials in a timely and professional manner
- Act as the central point of contact for Council and committee communications and enquiries
- Support onboarding of Council and committee members and maintain relevant records
- Prepare standard reports, correspondence and meeting papers as required
- Maintain strict confidentiality and integrity of sensitive information
- Identify and implement improvements to administrative processes and systems
- Provide back-up secretariat support to Board activities during periods of leave or peak demand
What you'll need to succeed
- Demonstrated experience providing high-level secretariat or administrative support in a governance, Board, Council or executive environment
- Proven experience coordinating meetings and taking clear, accurate and professional minutes
- Strong organisational skills with the ability to manage multiple priorities and deadlines independently
- Highly developed written and verbal communication skills
- Excellent stakeholder engagement and interpersonal skills
- A high level of discretion and ability to manage confidential information
- Experience improving administrative systems and processes (desirable)
- Police Check
