A great opportunity exists for an experienced Administration Officer to provide high‑level support within a busy Building Services environment. This role is responsible for ensuring the smooth delivery of operational, financial and project administration functions while supporting internal staff, contractors and stakeholders.
You will work across a wide range of administrative duties, ensuring accurate data processing, efficient workflow management and strong support to the maintenance and project teams. This is a full-time position, for an initial 3-month temporary contract, Monday to Friday, based in Cairns.
Your new role
In this role, you will find yourself carrying out duties including but not limited to:
- Accurate data entry into financial and operational management systems
- Processing and monitoring work orders through electronic portals
- Costing and pricing completed job sheets
- Preparing invoices in financial systems and e‑invoicing portals
- Converting internal work requests into operational tasks
- Coordinating and processing contractor purchase orders and monitoring progress
- Preparing journal entries and financial adjustments
- Creating, maintaining and finalising tasks and templates
- Quoting and raising purchase orders across fixed‑price contracts
- Goods receipting and job order reconciliation
- Following up aged purchase orders and debtor records
- Drafting reports, correspondence, contracts and policy documents
- Providing guidance and training to other administration staff
- Liaising with contractors regarding travel, contracts and general enquiries
- Supporting tender and contract management activities
What you'll need to succeed
To be successful in this role, you will have:
- Certificate IV in Business Administration or 3+ years administrative experience
- Strong data‑entry accuracy and financial processing skills
- Experience using financial, asset or project management systems
- Excellent organisation, prioritisation and communication skills
- Ability to work with multiple stakeholders in a professional manner
Desirable:
- Understanding of construction or building industry processes
- Knowledge of or interest in Torres Strait region languages and culture
