I am currently recruiting for a full-time, permanent NSW Administration Manager on behalf of a well-established fire protection and safety organisation based in the Inner West of Sydney.
As the NSW Administration Manager, you will lead the administration function across Sydney service branches, ensuring seamless, end-to-end operational support. This is a hands-on leadership role focused on driving efficiency, maintaining high service standards, and fostering a collaborative team culture.

Your new role
Lead the NSW Administration team to ensure a high level of customer service, coordination and administration is delivered both internally and externally.
Supervise matters for the NSW branch Administration Team.
Ensure the Service Delivery team deliver on KPI’s for incoming calls, invoicing, WIP review, correction of billing issues, resolution of debtor issues, complaint resolution and document control.
Assist in the management of projects which are likely to bring about improved efficiency and functionality of business processes.
Propose alternative solutions and technologies which are likely to bring about timely and high-quality system solutions.
Develop and submit reports as requested by the Service team.
Train the Administration team in all aspects of service delivery operations, ensuring their knowledge and understanding of service delivery KPI’s, policies and procedures are up-to-date.
Generate an informative and harmonious working relationship with all employees.
Recognise and acknowledge consistent good and reliable performance.
Conduct staff counselling and career performance reviews in an informative and constructive manner.
Conduct and arrange regular team meetings to ensure the smooth operation of the team and its output.
Ensure commitment on the part of Management to the Company's policies on Occupational Health and Safety and that a comprehensive evaluation of all accidents and reports is made in an effort to reduce potential hazards.
Interview and recruit replacement or additional department personnel using guidelines laid down for the skill, experience and personality traits established for the position and ensure all employees are provided with a suitable induction program and maintain job descriptions for all in-branch employees to define their authority and responsibility.
Conduct any other administration or coordination tasks that may be directed or required.
Efficient and accurate invoicing and debtor resolution
Positive customer feedback and timely complaint resolution
Well-organised office systems and internal audit outcomes
Compliance with EH&S standards and proactive risk management
What you'll need to succeed
5–10 year’s experience in administration, ideally within the fire protection and safety industry or service industry
Proven leadership experience managing administration or billing teams
Strong organisational and time management skills
Proficiency in Microsoft Word, Excel, and PowerPoint
Experience with PRONTO software is desired
