Hays is partnering with a respected Commonwealth organisation who is responsible for managing a nationally significant heritage estate and supporting a diverse program of official, ceremonial and community events. They are currently seeking a Facilities Coordinator to work within the Property and Projects team to centralise and uplift their facilities management operations, contractor coordination, event logistics.
Your new role
Reporting within the Property and Projects team, you will be responsible for the day-to-day coordination of facilities operations, ensuring buildings, grounds and associated assets are maintained to a high standard.
Key responsibilities include:
- Coordinating day-to-day facilities operations, repairs, maintenance and minor capital works across a significant heritage property.
- Drive continuous improvement by introducing more efficient, structured and modern facilities management practices.
- Implement proactive maintenance programs, asset management processes and reporting frameworks.
- Review and modernise existing procedures, identifying opportunities to improve service delivery and operational efficiency.
- Challenge outdated ways of working and champion best-practice facilities management approaches.
- Strengthen governance, compliance and accountability across facilities and contractor management activities.
- Coordinate fleet management, event logistics and operational support for official functions and public events.
What you'll need to succeed
To be successful in this role, you will be a proactive and solutions-focused facilities, office or property professional who enjoys identifying opportunities for improvement and driving positive change.
You will bring:
- Experience in facilities coordination, office management, property operations or a similar environment.
- A proactive mindset, with the ability to identify issues before they arise and implement practical solutions.
- Strong leadership capabilities, with experience motivating teams, coordinating contractors and driving accountability.
- Excellent communication and stakeholder engagement skills, with the confidence to influence outcomes at all levels of an organisation.
- A continuous improvement mindset and the ability to challenge the status quo to deliver better operational outcomes.
- Experience implementing new processes, systems or ways of working to improve efficiency, service delivery and governance.
- Strong organisational skills with the ability to balance competing priorities and manage multiple stakeholders.
- Knowledge of contractor management, compliance, WHS and asset management principles.
