Your new role
As a lead Executive Assistant, you will be supporting 5 Executives, ensuring you are a resource for basic company policies and procedures as well as use leadership skills to manage a large team of varying levels of bankers and a number of different and often conflicting objectives, projects or activities at one time. Being involved in numerous aspects of organisations, you will need your creative cap to organising internal and external events, requiring organisation of approval, invites, rsvp management and function logistics.
- Extremely heavy calendar management; coordinating and scheduling internal and external meetings, including time zone management.
- Coordinate all aspects of international and domestic travel, including all-ground logistics.
- Complex expense processing using concur.
- Communicating and interacting internally with all levels of the division and across business functions, finance, human resources, and technology, as well as externally with clients and their teams.
- Quickly learning and keeping up to date on a variety of MS systems.
- Performing diverse, advanced and confidential administrative support functions, including composing, signing and sending correspondence on behalf of the company.
- Comprehensive phone coverage and broader EA team support.
Confidentiality will be a big part of your role, being entrusted with high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgement.
What you'll need to succeed
As the ideal candidate, you will have extensive experience in investment banking or financial services. Strong executive-level support or similar experience with a high attention to detail, ability to work effectively under pressure and time constraints whilst displaying an exemplary demonstrated work ethic.
- Polished and professional phone and email communications
- Significant time management, organisation, multitasking and prioritisation skills
- Concur or similar experience processing travel and expenses
- Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
- Ability to learn quickly and take on new responsibilities
