Your new role
As the Executive Assistant to the General Manager, Infrastructure and Operations, you will play a pivotal role in ensuring the smooth and efficient running of the office and supporting key departmental priorities.
In this role, you will:
Provide high level administrative and secretarial support, including diary and email management, meeting coordination, minute taking, correspondence preparation, and maintaining accurate corporate records.
Act as a trusted point of contact for internal and external stakeholders, including stepping in as the first point of contact during the General Manager’s absence.
Research departmental and organisational issues, compile information, interpret data, and prepare reports that inform strategic decision-making.
Monitor KPIs, coordinate compliance reporting, track correspondence and resolutions, and support governance processes.
Prepare and coordinate financial, HR, safety, and operational reporting to support departmental objectives.
Strengthen communication and liaison between the General Manager and other organisational leaders to progress key initiatives.
Manage, refine, and improve processes and systems to ensure efficiency, accuracy, and compliance across the department.
Process financial transactions, monitor departmental expenditure, and produce financial reports to support effective budget management.
What you'll need to succeed
To excel in this role, you will bring:
Demonstrated experience providing high quality executive or senior administrative support, with a track record of continuous improvement in systems and processes.
Strong written, verbal, and research skills, with the ability to prepare clear, accurate reports, correspondence, and analyses on complex matters.
Excellent time management and organisational abilities, with proven capability to meet deadlines and adapt to changing priorities.
Well-developed interpersonal and conflict resolution skills, and the ability to build effective working relationships across diverse stakeholder groups.
A strong customer service focus, ensuring timely, accurate, and respectful communication.
Competence with standard office applications and financial systems, and the ability to quickly learn new technologies and platforms as required.
What you'll get in return
Hourly rate of $46.11p/h + Super
36.25 hour working week
Initial contract until 1st May 2026
