An established not-for-profit organisation based in Darwin is seeking a highly organised and proactive Executive Assistant/Administrator to join their team. This is a unique opportunity to contribute to a purpose-driven organisation that delivers nationally recognised cultural, educational, and community programs.
In this dynamic role, you will be the first point of contact for the organisation, providing high-level administrative support to the executive team, coordinating travel and logistics, managing ticketing systems, and supporting the delivery of major events. You will play a key role in the planning and execution of one of Australia’s most significant Indigenous-led cultural events, held annually in North East Arnhem Land.
Your new role
Manage executive calendars, schedule meetings, and coordinate appointments
Handle travel arrangements, including flights, accommodation, and itineraries
Prepare reports, presentations, and correspondence on behalf of executives
Act as the first point of contact for internal and external stakeholders
Maintain filing systems and manage confidential documents
Support event coordination and logistics
Monitor and respond to emails, phone calls, and general enquiries
Assist with budgeting, invoicing, and office supply management
Liaise with vendors, clients, and team members to ensure smooth operations
Provide administrative support to the CEO and broader team as required
What you'll need to succeed
Strong communication and interpersonal skills
Excellent time management and multitasking abilities
A high level of initiative and attention to detail
Proficiency in Microsoft Office and digital communication tools
A respectful understanding of Indigenous cultures and a commitment to community-led values
Experience in executive support, event coordination, or office administration is essential. The successful candidate must be available to attend and support the organisation’s flagship event as part of their role.
