The Digitisation Officer is responsible for converting Council’s hard‑copy and paper‑based records into digital formats in alignment with legislative requirements, internal policies, and approved records management practices.
Your new role
The role ensures high‑quality digitisation, accurate file tracking, and compliance with relevant legislation including the NSW Work Health and Safety Act 2011, WHS Regulation 2017, and Council’s Safety Management System.
What you'll need to succeed
Essential
- Experience in a records or information management environment.
- Strong attention to detail with the ability to follow repetitive processes accurately.
- Computer literacy and capability to use various software applications.
Desirable
- Knowledge of the NSW State Records Act 1998, particularly Digitisation Specifications GA45 and Disposal Authority GA39.
Experience using Kodak scanning applications
What you'll get in return
- Digitise physical files to approved digital formats.
- Cull and dispose of hard copy files before or after digitisation.
- Assist with internal and external digitisation projects.
- Update CM9 metadata fields related to digitisation processes.
- File, relocate, and box hard copy records.
- Maintain accurate record locations in CM9 at all times.
- Use handheld barcode scanners to track file movements in line with procedures.
- Compile and maintain monthly digitisation statistics.
- Respond to internal and external customer enquiries professionally and in line with service standards.
- Manage volunteers, if applicable.
- Undertake other duties consistent with Council operations as directed.
