A major Queensland-based university is delivering a large-scale, organisation-wide program to migrate data from legacy shared drives into Microsoft 365, including SharePoint and Teams.
At the centre of this transformation is a high-visibility initiative focused on reducing legacy data risk and technical debt, migrating business-critical information, and uplifting digital capability and information management practices across the organisation.
This program spans all faculties and divisions, with multiple delivery streams running in parallel through to December 2026. You’ll be working in a fast-paced, collaborative environment alongside academic and professional staff, records specialists, and an external delivery partner to ensure successful migration outcomes.
Your new role
As a Data Migration Coordinator (IT Transition Coordinator), you will take ownership of a portfolio of Transition Groups, acting as the primary point of contact throughout the migration lifecycle.
You’ll coordinate end-to-end delivery—from initial engagement through to migration, validation, and closure—while working closely with stakeholders and delivery teams. This is a hands-on role where you will apply structured processes while adapting to the unique needs of each group.
Key Responsibilities
- Coordinate migration delivery across assigned Transition Groups
- Facilitate workshops, kick-offs, and data review sessions
- Support migration preparation activities including data reviews, mapping, readiness, and communications
- Provide guidance on recordkeeping, compliance, and appropriate Microsoft 365 storage solutions
- Collaborate with delivery partners and internal teams to ensure smooth execution
- Monitor progress, maintain momentum, and proactively resolve issues
- Maintain accurate delivery artefacts, including trackers, Jira epics, and documentation

Core Experience & Skills
- Proven experience coordinating high-volume data migration or transition activities
- Strong stakeholder engagement skills across diverse groups
- Ability to translate ambiguity into clear, actionable steps
- Excellent written and verbal communication skills
- Strong organisational skills and attention to detail, particularly using Excel
- Ability to identify risks, manage dependencies, and escalate issues early
- Hands-on, outcome-driven approach with a strong bias for action
Desirable Experience
- Knowledge of Microsoft 365 (SharePoint, Teams)
- Experience in digital transformation or workplace technology programs
- Understanding of information management or recordkeeping practices
- Experience working with vendors or delivery partners
- Exposure to higher education or government environments
