Your new company
You’ll be joining an environment undergoing a major technology uplift, with a strong focus on AI adoption, modernisation of legacy systems, and improvement of digital research and student‑facing capabilities. As part of this transformation, a new AI‑powered Conversational Search feature is being developed to evolve the current keyword‑based search experience into an intelligent, multi‑turn dialogue interface that can interpret context, resolve ambiguity, and deliver accurate information instantly.
This initiative represents a significant people and behaviour change challenge as much as a technical one. You’ll play a central role in ensuring that students, staff, and content owners understand the new platform, trust it, and adopt the behaviours required to sustain it.
Your new role
As the Change Manager, you will lead the end‑to‑end change strategy. Working closely with the delivery team and a wide range of internal stakeholders, you will design and execute a change program that is practical, proportionate, and grounded in how the institution operates.
Key Responsibilities
Change Planning
- Develop and maintain a phased change management plan across discovery, build, validation, and go‑live.
- Complete stakeholder analysis and change impact assessments across user groups.
- Identify change risks early and embed mitigation strategies into delivery.
- Define adoption and behaviour‑change metrics and establish tracking processes.
Stakeholder Engagement & Communications
- Build and deliver a communications plan that informs, reassures, and manages expectations.
- Develop clear, plain‑language messaging that sets realistic understanding of AI capability.
- Establish and support change champions across faculties and service areas.
- Lead workshops, engagement sessions, and feedback loops to secure input and approval.
Training & Readiness
- Identify training needs across user groups and manage overall readiness planning.
- Develop training resources, guides, and FAQs with project collaborators.
- Support content owners in preparing for ongoing governance responsibilities.
- Coordinate readiness activities in alignment with technical and delivery timelines.
Adoption & Reinforcement
- Monitor adoption metrics post‑launch and identify areas requiring additional support.
- Deliver reinforcement activities such as refresher comms, recognition, and sustainment campaigns.
- Manage feedback and resistance constructively, informing product refinements as needed.
- Support the transition of long‑term content and communications responsibilities.
Governance & Reporting
- Provide regular status reporting, including risks and required decisions.
- Maintain change documentation such as impact assessments, comms logs, and lessons learned.
- Contribute to the Go/No‑Go decision at the end of discovery by assessing readiness and change risks.
