Hays is working with a federal government organisation that provides maritime safety services to the community. The position is based in Coffs Harbour, and we are seeking an experienced administration professional who is motivated, has excellent organisational skills, and is committed to delivering high quality outcomes and services.

Your new role
As an Administration Support Officer, you will be responsible for supporting a dynamic team in the following tasks:
  • Responding to queries from internal and external stakeholders via phone and email.
  • Providing timely and accurate information to customers to ensure compliance and understanding of the certification process.
  • Lodging, assessing, and processing applications to the department.
  • Entering data meticulously into the customer records management system.
  • Maintaining records in alignment with business policies and procedures.
  • Facilitating the issuance of certificates.
  • Staying informed about relevant legislative and policy requirements for the certification applications.

What you'll need to succeed
  • Administrative Experience: Proven experience in administration or relevant qualifications.
  • Background working in a government position supporting a high volume workload is essential.
  • Microsoft Suite Proficiency: Ability to use Microsoft Office applications effectively.
  • Commitment to Excellence: A track record of delivering high-quality outcomes within deadlines.
  • Record Management: Familiarity with computerised recording systems (e.g., TRIM, HPERM, Content Manager).
  • Communication Skills: Strong verbal and written communication skills, with the ability to convey complex information to diverse audiences.
  • Analytical Aptitude: Demonstrated ability to interpret and analyse evidence.
  • Experience working in a government role previously would be highly beneficial.
