An exciting opportunity is available for an organised and proactive Administrative Assistant to support the daily operations of a growing business within the building and certification sector. This hands-on role is critical to ensuring smooth administrative functions, regulatory compliance, and high-quality client service. You will work closely with internal teams, councils, and external stakeholders to coordinate approvals, inspections, and documentation efficiently.
Your new role
Your role as an Administration Assistant will encompass:
Issue Building Approvals, Certificates of Occupancy (Form 11), Final Inspection Certificates (Form 21), and amended Decision Notices
- Review applications via Checkpoint systems and issue RFIs where required
- Prepare and lodge applications with councils and relevant authorities
- Manage email and phone correspondence professionally and efficiently
- Coordinate inspection bookings and related documentation
- Support workflow management to meet SLAs and deadlines
- Process invoices, expenses, and disbursements accurately
- Perform general administrative duties and identify process improvements
What you'll need to succeed
- Previous administration experience: construction or building certification exposure highly regarded
- Strong written and verbal communication skills
- High attention to detail with excellent organisational ability
