Your new role

As a senior Information Management / Records Management specialist, you will lead the development of contemporary, APS‑aligned IM policy and compliance artefacts and provide expert advice on records management capability across Microsoft 365.

Key responsibilities include:
  • Reviewing existing IM policy artefacts and conducting a structured gap analysis, including IM Policy, Normal Administrative Practice Policy, Digitise to Dispose Policy, IM Governance Framework and IM Strategy and Delivery Plan
  • Designing and authoring a new Information and Data Archival Policy and associated governance artefacts from first principles, aligned to the Archives Act 1983 and Privacy Act 1988
  • Producing clear, practical, plain‑English staff guidance for managing information in Outlook, SharePoint Online, Microsoft Teams, OneDrive, network drives and Microsoft Purview
  • Ensuring all artefacts align with the Archives Act 1983, Privacy Act 1988, PSPF, NAA Digital Continuity 2025 and relevant APS standards
  • Facilitating policy review and endorsement sessions with governance, legal, enterprise architecture and cyber security stakeholders
  • Assessing SharePoint Online and Microsoft Purview against NAA records management requirements to identify gaps, risks and remediation options
  • Engaging with ICT Solution Front Door processes and IM, architecture, security and operations teams to validate technology feasibility
  • Delivering a structured Records Management Compliance Assessment Report with risk‑rated findings and recommendations
  • Contributing IM policy and compliance expertise to pilot lessons‑learned and compliance monitoring frameworks

What you'll need to succeed

To be successful in this role, you will bring:
  • 7+ years’ experience in APS information management, records management or IM compliance roles, ideally in health, statistics or other data‑intensive environments
  • Deep working knowledge of the Archives Act 1983, Privacy Act 1988, PSPF and NAA Digital Continuity 2025
  • Demonstrated experience authoring APS‑standard policies, governance frameworks and practical staff guidance that is genuinely adopted
  • Proven ability to conduct formal IM or records management compliance assessments with risk‑rated findings
  • Strong written communication skills, with experience producing SES‑facing material independently
  • Hands‑on understanding of SharePoint Online and Microsoft Purview from a governance and records compliance perspective
  • Familiarity with Microsoft Purview retention and disposition capabilities
  • Experience engaging with APS IT governance and Solution Front Door‑style architecture review processes
  • Awareness of emerging AI and Microsoft Copilot governance considerations for information management
  • Relevant qualifications in records management, information management, library science, law or a related discipline (desirable)
