A Melbourne-based innovative education institution is looking for a Senior PII Analyst to lead detailed data discovery and mapping to identify, classify, and document PII across the client’s digital landscape. Initial tenure: 3 months (contract)
Your new role
Build and maintain the institutional PII Heatmap, tracing data from ingress points (forms/APIs) through storage and retention.
Maintain the “Source of Truth” register for PII holdings across core systems (e.g., Salesforce, SMS) and unstructured repositories (e.g., file shares).
Conduct risk assessments, map data flows between systems to detect unauthorised replication, shadow spreadsheets, and integration risk.
Review data collection points (web forms, manual uploads, applications) to minimise unnecessary PII entering the environment.
Recommend and help implement data protection measures (encryption, masking, anonymisation) and enforce access controls with IT/security teams.
Partner with business owners to validate business purpose for sensitive fields; challenge “just-in-case” collection practices.
Monitor, report, and track PII exposure incidents; prepare compliance and risk reports for audits and regulatory reviews.
Compare current practices against University privacy standards; recommend remediation (redaction, purging, access restriction).
Contribute to requirements definition, scope management, and prioritisation across projects and programs.
Perform other duties as required to strengthen the identifiable data security capability across the portfolio.
What you'll need to succeed
You’ll be expected to have a solid understanding of cybersecurity principles for data collection, distribution, storage, and deletion. You’ll also need :
Strong knowledge of data privacy laws and frameworks (e.g., GDPR, CCPA, HIPAA, Australian Privacy Principles) and familiarity with data discovery tools and DLP solutions.
Proven business analysis, governance, and compliance experience applied to IT services and improvements.
Highly developed planning and organisational skills—able to set priorities, implement improvements, and meet deadlines.
Advanced ability to analyse business needs and produce functional specifications and actionable solutions.
Strong stakeholder influence, negotiation, and relationship management skills.
Excellent analytical and problem-solving capability to address complex data issues.
Clear communication and presentation skills to convey complex information effectively.
Hands-on experience reviewing data structures (e.g., Excel exports, JSON snippets, field definitions).
