Your new role

As a Conveyancing Officer, you will play a key role in managing and administering Contracts of Sale, including post-settlement conditions and related conveyancing duties. This position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting.

  • Administer sales and acquisition contracts in line with government policies and industry standards.
  • Monitor delinquent and forecast settlements using internal systems to ensure accuracy of settlement dates.
  • Liaise and negotiate with internal and external stakeholders on settlement matters.
  • Prepare and reconcile settlement statements, including adjustments for rates and taxes.
  • Coordinate settlement variations and substitute purchasers.
  • Prepare and lodge legal documents and perform settlements via PEXA.
  • Maintain and update internal systems.
  • Provide exceptional customer service to internal and external stakeholders.
  • Monitor compliance with post-settlement conditions, process approvals for extensions, on-sales, and repurchases, and remove encumbrances upon satisfaction of conditions.
  • Assist banks with mortgage registrations and refinances.
  • Liaise with sales officers, development managers, settlement agents, real estate agents, financial institutions, and other government agencies.
  • Conduct research and ensure compliance with all relevant policies and procedures.

What you'll need to succeed

  • Strong understanding of land subdivision processes and Landgate functions.
  • Proven experience in conveyancing and preparing complex legal documents.
  • Knowledge of relevant legislation and ability to interpret Contracts of Sale.
  • Excellent communication, negotiation, and problem-solving skills.
  • Proficiency in PEXA and other web-based tools (Landgate, Map Viewer).
  • Highly organised with the ability to manage a high volume of contracts.
  • Previous experience in a similar government or development-focused organisation is desirable.
