Your new role
Our national Hays strategic account management team is seeking an internal Senior Administration Coordinator to join our Hays team. This is a full time temporary 4-month role based in Melbourne CBD commencing end of June 2025 and paying $35.86 per hour.
This role focuses on providing operational support and direction to our consultants and delivering exceptional customer service to our internal and external stakeholders.
- Act as the first point of contact for client enquiries
- Promptly action items in shared inbox
- Create weekly and monthly reports using PowerBI
- Create PowerPoint presentations for the leadership team
- Client interaction regarding job progress, rate changes, extensions, pay rate, overtime or invoicing errors using rate calculators
- Liaise with clients to resolve system related issues
- Update intranet content with new contracts, procedures, processes, passwords, system user guides, process maps, tec
- Upload compliance documents, applications and interviewing scheduling as required
- Arrange job briefings as required
- Collate data in response to periodic client requests and client compliance audit requests
What you'll need to succeed
- Knowledge of the recruitment process used in Vendor Management System (VMS), with knowledge of key VMS systems an advantage
- Exceptional communication skills both verbal and written with the ability to manage and influence difficult stakeholders, both internal and external
- Able to prioritise conflicting tasks and meet deadlines
- High attention to detail
- Comfortable with figures to enable calculations to unravel and remedy rate discrepancies
- Core stakeholder management skills and a customer orientated mindset to facilitate business partnering
- Takes an adaptable approach to work
- Team player
