Your new role
We are seeking a detail-oriented and proactive
Senior Program Compliance Coordinator
to join the Projects team. This role is pivotal in ensuring the integrity, compliance, and continuous improvement of program-related systems, particularly the Program Monitoring and Reporting System (PMRS), as well as other collaboration and gateway applications.
Key Responsibilities
- Consult and conduct workshops with key stakeholders to identify business needs, procedures and system requirements to capture required information. Including running Business Improvement workshops with the broader projects team. To formalise business requirement documentation for vendor action (Business Analysis capability).
- Monitor compliance of the use of the Projects’ operational system by all staff and ensure quality of the data at regular intervals including face to face follow up with project managers and users of the PMRS system. With primary focus on managing HOCA and DMA.
- Lead key program gateway control practice, (e.g., monthly cash flow process, and other funding management tasks). This includes verifying data according to the organisation Standard Operating Procedures.
- Conduct staff training and process compliance sessions in relation to all IT systems used for project delivery, and monitor and report on effectiveness of the implementation of these systems
- Provide system administration to support the staff and other end-users, ensuring adherence to the organisation's policies, procedures and standards including security and integrity of the system
- Inform the Director, Projects of refined business needs, for efficient project delivery and program management, including developing process reviews, and undertaking analysis to identify and develop ongoing optimisation of system related procedures
- Coordinate assigned IT projects and also the associated continuous improvement projects in the implementation phase, liaise with system vendors and eSolutions when required to ensure timeliness, high quality and compliance with all organisations' requirements, policies and procedures
- Design and provide reports on the capital, project efficiency analysis and any other relevant requested reports and including for the use by Senior Project Managers and Team Leaders
What you'll need to succeed
- Demonstrated business and system analysis skills, extensive experience in data manipulation extraction and analysis of large complex data processes and considerable skills and experience in large database administration
- Experience in the project management, project systems, variations, construction and tender phases, managing budgets - Business Analyst/Systems Management combo
- Demonstrated experience in Business Analysis and Data modelling and BI reporting
- Extensive experience working to Capital Development Financial processes
- Highly developed analytical skills with a demonstrated strong quality focus and attention to detail
- Demonstrated experience working in a dynamic changing environment with a broad range of people
- Flexibility in the evolving monitoring and reporting requirements of projects and the division
- Excellent communication skills
