Your new role
As a Project Administrator, you will play a key role in supporting project managers and ensuring the smooth execution of urban infrastructure projects. Working closely with internal teams and stakeholders, you will oversee administrative processes and contribute to the successful delivery of projects.
Managing and updating project documentation, ensuring accuracy and compliance with standards
Tracking milestones and coordinating deadlines to maintain efficient project workflows
Following up with project managers, teams, and external parties to ensure timely completion of tasks
Organising and attending meetings, preparing agendas, and recording minutes
Facilitating effective communication between project teams, clients, and key stakeholders
Assisting with budgets, invoicing, procurement, and financial reporting for ongoing projects
Maintaining project databases and ensuring proper documentation and record-keeping
Identifying risks and ensuring adherence to quality assurance procedures and policies
What you'll need to succeed
Previous experience in project administration or a similar role
Strong knowledge of project management principles and administrative processes
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams) and project tools such as MS Project, Total Synergy, or 12D Synergy
Excellent organisational skills with the ability to manage multiple deadlines effectively
Strong communication skills and attention to detail in both verbal and written formats
A proactive and adaptable approach to working across different management styles
Ability to work independently while contributing to a collaborative team environment
Experience with financial processes, including project invoicing and procurement
Engineering industry experience is highly regarded but not essential.
